A checklist for evaluating a system before you commit a pharmacy's daily operations to it.

Test it at the counter, not just the demo

A polished sales demo tells you little about what happens during a busy afternoon with a queue forming. Before committing, run an actual sale through the system yourself: scan or search for a real medicine you stock, complete a cash sale, and print a receipt on your own printer. If any of those steps feel slow or unclear on a calm day, they will feel worse under pressure.

Ask about your specific hardware

Thermal printer and barcode scanner compatibility varies by brand and model. Ask directly whether the system supports the printer and scanner you already own, or whether you'd need to buy new hardware — that cost should factor into your comparison, not appear as a surprise after signup.

Check what happens to your existing data

If you're moving off a manual register or a different system, ask exactly how your current medicine list, stock levels, and customer records get in. "We'll help you set it up" can mean anything from a guided Excel import to re-typing everything by hand. Get specifics before you sign up, not after.

Questions worth asking any vendor

A short list that tends to surface the real differences between vendors:

  • What happens to a sale in progress if the internet drops?
  • How is medicine expiry tracked, and how far in advance does it warn you?
  • What does support actually look like — phone, WhatsApp, in person — and during what hours?
  • Is pricing per store, per staff seat, or both, and what happens when you add a second location?
  • Can you export your data if you decide to switch again later?
