Why expiry tracking is harder than it sounds
A single medicine name on a shelf can represent several different batches bought at different times, each with its own expiry date. Manual tracking usually means a sticker or a notebook entry per batch — which works until stock volume grows past what one person can scan by eye during a shelf check.
The failure mode is rarely "we forgot expiry matters." It's that the checking process doesn't scale: a pharmacy with a few hundred SKUs can eyeball shelves weekly; one with several thousand, across multiple shelves or locations, generally can't without a system tracking it continuously.
A manual system that actually works
If you're not using software yet, a workable manual system needs three things:
- Every batch entry recorded with its expiry date at the time of purchase, not estimated later
- A fixed weekly time to review upcoming expiries — not "whenever there's time"
- A clear threshold (e.g. 60 days out) that triggers a decision: discount, return to supplier, or prioritize for sale
What software changes
Software doesn't make expiry tracking a different process — it removes the part that depends on someone remembering to check. Batch and expiry data gets logged once, at purchase entry, and the system surfaces what's approaching expiry automatically instead of waiting for a scheduled review to catch it.
